Custom Content: How to Create a Content Collection?

Content Collections allows a grouping of content into a collection that can have one or more members. Assessments, Questions and Resources can be published to a content collection.

The Administrators can create their own content collections using the Custom Content feature. From the Custom Content module, click on the Collections tab from the Content page.

+ Create Collection

The administrators can click on + Create Collection button on the right side of the Collections page. Clicking on + Create Collection button will display the Add Collection information modal. 

 
 

Step 1: Collection Information Tab

Step 1 allows the admins to add the Content Collection Title, Description, Course and State.

After filling all the information, click on the Next button on the top right corner to navigate to the next page of Share Settings. A success message will appear in a green notification box at the top right corner of the screen after the administrators clicks on the Next button.

If the admin is interested to navigate to other steps, they can click on the progression bubble on top of the page. A Save button is available at the top-right corner of each step, allowing users to save their progress and changes throughout the process.

 
 

Step 2: Share Settings Tab

In Step 2, administrators configure the collection sharing settings. They can return to the previous step by clicking the Previous button in the top-left corner of the screen. Administrators can save their progress at any time by clicking the Save button or proceed to the next step by clicking the Next button in the top-right corner.

For administrators, by default the Collection Level is set to District Level. Administrators can change the Collection Level using the dropdown menu and select from District, School, or Teacher levels based on their sharing requirements.

The Default Collection Rights dropdown can also be edited. The rights can be changed based on the selection from the dropdown. By default, Full Editing is selected.

 

  • Full Editing: Administrators can add, remove, and assign content and change who this collection is shared with.
  • Edit Content: Administrators can add, remove, and assign content, but not change who this collection is shared with.
  • Edit Members: Administrators can only view and assign content shared in the collection, and add members to this collection.
  • View and Assign: Administrators can only view and assign content shared in this collection.

 

 

 

 

District Dropdown:
Displays the district associated with the administrator's account and is automatically populated based on the administrator’s access level. This field is not editable.

School Settings:

The administrators can manage members within the selected schools. Admins are allowed to edit the Status and Collection Rights for each member and can also add or remove members from the collection. Admins can also update the overall school status by selecting either Active or Inactive from the school-level dropdown.

Administrators can update the status of school members by selecting either Active or Inactive from the status dropdown menu.

Administrators can select or deselect all available schools using the Select All and Deselect All buttons. When Deselect All button is selected, a confirmation modal is displayed with a warning message indicating that all the members will be deselected. Clicking Save confirms the action and deselects all currently selected schools. Administrators can dismiss the modal without making changes by clicking the Cancel button or the X icon in the top-right corner.

When all schools are deselected, the Deselect All button becomes disabled and only the Select All button remains enabled, allowing administrators to quickly reselect all available schools.

The Collection Rights can be updated using the dropdown menu, which includes the following options: Full Editing, Edit Content, Edit Members, and View and Assign.

 A Save button is available at the top-right corner of each step, allowing users to save their progress and changes throughout the process. Click on Next Button to navigate to Step 3 of Associated Content. A success notification message is displayed.

 
 

Step 3: Associated Content

 

To add an existing Assessments or Questions or Resources to an existing collection, the admins needs to navigate to the respective tabs within the Associate Content tab. Click on the + Add Assessments or Questions or Resources to add a new Assessments or Questions or Resources, while displaying the course title as “Add Content to [Course Name]” and the collection’s access level with additional details available via the (i) icon.

To add a new Assessments or Questions or Resources, click on the + Add Assessments or Questions or Resources.

Assessments Tab

The Assessments tab is displayed by default on this screen. Admins can update the publishing status of each assessment by selecting either Active or Archived from the dropdown menu. Additionally, teachers can add existing assessments to the content collection by clicking on the + Add Assessment button.

After the admin clicks on the + Add Assessment button, the “Assessment Selection” modal is displayed. This modal allows the admins to browse, filter, and select assessments to add to the collection.

The following sections are available within this modal:

  • Search Bar: Allows the admins to search for specific assessments by entering keywords related to the assessment title.
  • Sort By: Name: Enables the admins to sort the list of assessments. By default, assessments are sorted by Name (ascending), with the option to change the sorting order as needed.

Filter Assessment:

The Filter Assessments panel on the left allows the admins to refine the list of assessments. It includes the following sub-filters:

  • Course: Displays the currently selected course by default. The admins can change the course using the dropdown to view assessments from other available courses.
  • Status: Admins can sort the list by clicking on status dropdown menu and can choose All Statueses, Assigned, Active and Editing.
  • Standards – Filters assessments based on associated standards
  • Assessment Type – Filters assessments based on type (e.g., Digital Student Book, ExperTrack, Let’s Practice, etc.)

After selecting the relevant filters, admin will click on Apply Button to see the results on right side of the screen.

Selecting Assessment

After applying the desired filters, the matching assessments are displayed on the right side.

  • The admins can select assessments by clicking on the checkboxes next to each item.
  • As selections are made, a counter at the right bottom (e.g., “Add XX Assessments”) updates dynamically to reflect the total number of selected assessments.

The Add Assessments button remains disabled by default and becomes enabled only after the admins selects at least one assessment.

 

Clicking on the Cancel button will close the modal without making any changes. Clicking on the X icon will also close the modal. Once the desired assessments are selected, the admins can click on the Add Assessments button to add them to the collection.

After the admin clicks on the Add XX Assessments button, a success message will appear on the right corner of the screen and will be navigated back to Edit Collection screen.

 

The selected assessments are then displayed in the Associated Content section, showing the updated list of assessments added to the collection.

Admins can filter the displayed questions by using the Status dropdown, allowing them to view All Statuses, Active, or Archived items.

The admins also have the option to remove existing Assessments from the collection by clicking on the X (remove) icon next to the assessments.

 
 

Questions Tab

Navigate to the Questions tab to manage the questions within the collection. Admins can edit the publishing status of each question by selecting either Active or Archived from the dropdown menu. Additionally, admins can add existing questions to the content collection by clicking on the + Add Question button.

Admins can filter the displayed questions by using the Status dropdown, allowing them to view All Statuses, Active, or Archived items.

Admins also have the option to remove existing Questions from the collection by clicking on the X (remove) icon next to the resource.

 
 

Resources Tab

Navigate to the Resources tab to manage the resources within the collection. Admins can update the publishing status of each resource by selecting either Active or Archived from the dropdown menu. Additionally, admins can add existing resources to the content collection by clicking on the + Add Resource button.

 
 

Admins can filter the displayed questions by using the Status dropdown, allowing them to view All Statuses, Active, or Archived items.

Admins also have the option to remove existing Resources from the collection by clicking on the X (remove) icon next to the resource.

 A Save button is available at the top-right corner of each step, allowing users to save their progress and changes throughout the process. After the admin has added and edited the collection as per their requirement, they can click the Next button on the right corner of the page to save change. A success message will appear on the right corner of the screen and will be navigated back to the Step 4 of Summary/Save.

 
 

Step 4: Summary/Save

On Step 4, the admins will see a confirmation message:
“Congratulations! You are ready to save your new collection.”

This screen provides a summary of the configured collection, including the following details:

  • Added Collection Rollup
  • Collection Status

Added Collection Rollup:
Displays key information about the collection such as the collection title, creator name, creation date, access level, number of contents (assessments, questions, resources), status, state, associated organizations (schools), and total members.

 

Collection Status:
Allows the admins to set the final status of the collection:

  • Active – The collection is visible to all users it has been shared with
  • Inactive – The collection is hidden from other users

After reviewing the information, the administrator can proceed by clicking on the Save & Exit button to finalize and save the collection. A success message will appear on the right corner of the screen and will be navigated back to the Collections page.
